Refund Policy
for OrbixCode LLC
we strive to deliver quality work, on time, with full transparency. Our refund policy has been designed to maintain fairness and accountability for both our team and our valued clients.
Eligibility for Refund (Before Work Begins)
Clients are eligible for a full refund within 30 calendar days of payment only if no work has been started. Once the project has commenced — even in initial phases like research, planning, or design — the refund policy outlined below will apply.
Refunds After Project Commencement
If the client decides to cancel the project after work has begun, we do not issue a full refund. However: All completed work up to the cancellation point will be delivered in usable form (designs, documents, code files, etc.).Any advance payments will be adjusted proportionally based on the work already delivered. The non-refundable portion includes time spent, resources used, third-party tools/licenses purchased, and internal production cost.
Milestone-Based Structure
All projects are handled in phases (milestones). Once a milestone is completed and reviewed by the client, it is considered final and non-refundable. Progress to the next phase begins only after confirmation and payment for the previous milestone.
No Refund in Case of Mid-Project Cancellation
If a client cancels the project midway due to personal reasons, loss of interest, or misunderstanding — we are not responsible, and no refund will be provided. The client will still receive deliverables for the completed stages, as agreed.
Delays Due to External or Technical Factors
Delays caused by third-party tools, APIs, hosting providers, or unforeseen technical issues do not qualify for a refund. Some components require external coordination, and in such cases, reasonable delays may occur. We ensure transparent communication throughout the process.
Client Responsibilities & Communication
The client is expected to provide necessary content, approvals, and feedback in a timely manner. Delays or lack of communication from the client’s end may extend the timeline but will not justify a refund.
Non-Refundable Items
Refunds are not applicable in the following cases:
Change of mind or strategy after work begins
Missed deadlines caused by client-side delays
Request for additional features outside original scope
Revision requests after final approval
Failure to provide required assets (e.g., images, text)
